Our Policies

We know that you have many choices when it comes to cosmetic and skin care procedures. We appreciate that you choose to come to our office and put your trust in us. Thank you for your patronage and for all of your referrals!

Appointments

Although courtesy reminder calls will be made as often as possible, your appointment is ultimately your responsibility. Please be on time for your appointment; if you are late or do not show, it affects others.

At each visit it is your responsibility to notify your provider of any changes to your medical history, medications, added skin care or topical prescription products or lifestyle changes (i.e., increased levels of stress, sun exposure, hormone changes, becoming pregnant, etc.).

Changes, Cancellations and No Show Fees

We enjoy setting aside time specific to each individual and hope to accommodate all our patients in the most efficient way possible. Therefore, if you would like to reschedule or cancel your appointment, we ask that you give us a minimum of 24 hours advanced notice. This allows us to schedule someone else in that time frame. Inadequate cancellation (within 24 hours of appointment time) or a no show will result in a fee of $75. Any associated fees must be paid before any other appointments may be scheduled. This includes appointments that are part of a package.

Pre and Post Instructions

It is your responsibility to follow all pre/post instructions pertaining to your treatment(s). Non compliance of these instructions may result in possible injury or the necessity of rescheduling your treatment. This includes, but is not limited to, trimming hair before laser appointments, avoiding retinol before peels and micro and avoiding blood thinners before vein treatments. Lack of compliance with these instructions, resulting in necessary appointment rescheduling, may result in a charge of up to $75, depending on the length of time blocked for your treatment. You may obtain additional copies of the instructions from our office or on our website, www.VFMLaserAndSkinCare.com/Forms.aspx.

Payment

Vienna Family Medicine Laser & Skin Care does not bill insurance companies for cosmetic procedures. The full cost of the procedure is due at time of service. We accept cash, personal checks, Visa, MasterCard and VFM Laser and Skin Care Gift Certificates. Packages for laser and skin care treatments are paid for on your first treatment visit. Unless otherwise specified, packages of three expire within one year and packages of six expire within two years. Refunds will not be given for unused portions of packages, nor are they transferable. No refunds will be given for perceived inadequate results.

Product Policy

Because of the nature of the ingredients in some of our pharmaceutical grade products, we ask that you schedule a consultation before purchasing items for yourself or others. Prescription products dispensed in our office may not be purchased for or used by anyone but you. All product sales are final. Should you develop an allergic reaction to one of our products, you may return within 10 days of purchase, fill out necessary documentation, obtain provider citations of allergy and a refund will be issued. There are no returns on prescription items.

Treatment of Minors

Adolescents may be considered for treatment when accompanied by a parent or legal guardian or with proper written permission. The adolescent’s candidacy for skin care and/or laser treatments will be evaluated during a consultation appointment. The decision is made by the provider and made on a case by case basis. Unless being treated, children are not allowed in the treatment rooms. We want you to be able to fully relax, as well as adhere to safety protocols.

Cell Phone Usage

Please turn off or switch your cell phone to silent mode while in our office. Cell phones may be disruptive, and we desire to adhere to safety protocols and keep your appointments as safe as possible without interruptions.
